We have all of your corporate headshots FAQs all set here to help you plan your team’s next photoshoot. Whether you’re updating a leadership team or refreshing an entire staff, professional headshots still matter (see why here)… and the questions around planning them haven’t gotten any simpler.
That said, planning headshots for a team of 10, 50, or 100+ people can feel like a logistical puzzle. Schedules, consistency, expectations… it adds up quickly.
To make this easier, I’ve pulled together the most common questions I hear from corporate clients heading into 2026. These answers are based on years of photographing teams across Florida, Jacksonville, and surrounding areas. If you’re planning a headshot day this year, this should help you move forward with confidence.
1. How much do team headshots cost?
Pricing depends on a few things… mainly how many people are being photographed and how much time we spend with each person. Other factors can come into play too.
My pricing is always all-inclusive. That means you know exactly what to budget for up front, without surprise add-ons later.
2. Can you make sure the photos match our brand?
Yes. This is a big part of the planning process.
I pay close attention to background, lighting, and technical details so each person looks like they belong to the same team. The goal is consistency from image to image, not a mix of styles that feel disconnected.
We consider headshots an extension of your brand and that’s why companies like Forbes recommend making this investment in your employees.
3. Where does the photo session take place
Most corporate headshots happen on location at your office or workspace. I bring a full mobile studio, so there’s no need to send people off-site.
For teams with remote employees, or companies spread across multiple locations, some team members may come into my studio instead. Both options work well, and we’ll decide what makes the most sense for your setup.
4. What’s the best way to schedule everyone?
This is one of the most common pain points.
Clipboards and shared spreadsheets work… but they’re not very efficient. To fix that, we built a custom booking tool at Cottrell Photographers. Each team member books their own time slot, just like scheduling a haircut or car service.
They can make changes themselves without HR or admin staff getting pulled into the process. If you want details, I’m happy to walk you through it.
5. Do you offer hair and makeup?
Yes. I work with some of the best makeup artists in the area and can arrange hair and makeup on location or at the studio.
I also provide two complimentary online guides for every client… a Professional Headshot guide and a What to Wear guide. These help people show up prepared and relaxed on photo day.
6. What should team members wear?
This matters more than most people expect.
I provide a detailed What to Wear guide, but here are a few highlights:
- Solid colors work better than busy patterns
- Long sleeves are usually more flattering than short sleeves
- Layers like blazers or cardigans add depth
If your company has a dress code, stick to it. We can also subtly work brand colors into the background to help tie everything together.

7. How do you keep headshots consistent over time?
Once we lock in your look, I document the lighting and technical setup for future sessions.
I also offer a New Hire and Missed Photo Day program. This allows new team members to be photographed later while keeping everything consistent with the original shoot. It saves you from redoing the entire team just to add a few people.
8. How long does each person spend in front of the camera?
9. Is retouching included?
Yes. Retouching is included in every proposal, and all retouching is done in-house.
Typical adjustments include stray hairs, blemishes, skin shine, softening skin, reducing wrinkles, brightening eyes, removing lint, smoothing clothing, and similar clean-up work. The goal is polished but natural.
10. What’s included in the final price?
Everything is clearly outlined from the start.
Pricing includes a set number of professionally retouched images per person or team, high-resolution files for print, web-optimized files, and a commercial license for unlimited use. That covers websites, LinkedIn, internal communications, print materials, and advertising.
11. What’s the turnaround time?
Most projects are delivered within 5–7 business days after the session or image selection.
Larger teams may take a bit longer. If you’re on a tight timeline, I also offer a 2–3 business day rush option.
12. Is a planning meeting included?
Bonus tip for 2026… New hire sessions
As teams grow, keeping a consistent look gets harder.
My New Hire and Team Update sessions are designed to plug new employees into your existing visual style without starting from scratch. Lighting, background, and overall feel are matched so your website and LinkedIn pages stay cohesive as your team changes.
